This policy explains what we collect, how we use it, and the choices you have — across this website (forgeyouragency.com) and the Imperium platform (the “Service”).
1. Information We Collect
Website inquiries. When you request a demo or a quote, we collect what you submit: your name, work email, phone, role, agency details, and information about your operation (team size, tools, carriers, timelines).
Platform account data. When your organization uses Imperium, we process account information (name, email, role, sign-in credentials and security keys) and the business records your organization manages in the Service — agents, agencies, hierarchy, contracting, appointments, commissions, compliance cases, and book-of-business records.
Protected health information (PHI). Some records your organization manages may include beneficiary information such as Medicare identifiers. PHI is handled under HIPAA-aligned safeguards: masked by default, visible only to authorized roles, and access-audited. Where Imperium processes PHI on behalf of a covered entity or business associate, we support entering into appropriate agreements.
Usage and log data. We collect technical logs (device, browser, IP, pages viewed, actions taken) to operate, secure, and improve the Service, including a security audit trail of actions taken in the platform.
2. How We Use Information
- To provide, operate, secure, and support the Service.
- To respond to demo and quote requests and communicate with you about Imperium.
- To prepare pricing and implementation tailored to your organization.
- To monitor for security events, enforce access controls, and maintain audit records.
- To improve the Service, including aggregate, de-identified analysis.
- To comply with law and enforce our agreements.
3. What We Don't Do
- We do not sell your personal information.
- We do not use your organization's business records or PHI for advertising.
- We do not store your carrier portal credentials — carrier links open the carrier's own sign-in.
4. Sharing & Service Providers
We share information only with service providers who help us run the Service — cloud hosting and databases, transactional email, payment processing, and AI processing for in-product assistant features — under agreements that restrict their use of your data to providing those services. We may also disclose information when required by law, or as part of a corporate transaction with notice to affected customers.
5. Security
We use role-based access controls, PHI masking, audit logging, encryption in transit and at rest, and least-privilege data visibility. See our Security Overview for details. No system is perfectly secure; we work to protect your information and will notify affected parties of incidents as required by law.
6. Retention
We retain website inquiries for as long as needed to respond and follow up. Platform records are retained for the life of your organization's subscription and thereafter as needed to meet legal, regulatory, and audit obligations (including CMS-related record-keeping periods applicable to your business), after which they are deleted or de-identified.
7. Your Choices & Rights
You may request access to, correction of, or deletion of your personal information, subject to our legal and contractual obligations. Platform users should route requests through their organization's administrator; anyone may contact us directly at the address below. We honor applicable state privacy rights.
8. Cookies
The website uses only essential cookies needed for it to function. The platform uses cookies for authentication and session security. We do not run third-party advertising trackers.
9. Children
The Service is for business use and not directed to anyone under 18.
10. Changes
We'll post updates to this policy here and update the effective date. Material changes affecting platform customers will be communicated directly.
